Programs & Events Coordinator

Position Summary
The Programs & Events Coordinator assists the Parks & Recreation Director in the development, organization, promotion, and administration of recreational, educational, and community programs throughout the City of Pickens. This position coordinates a wide variety of special events, recreational activities, educational programming, and facility reservations while working closely with community organizations, volunteers, and City staff.
The Programs & Events Coordinator serves as an ambassador for the Parks & Recreation Department and is expected to provide exceptional customer service while promoting community engagement through quality recreational opportunities and special events.
Program & Event Coordination
- Plans, organizes, promotes, schedules, and coordinates a variety of recreational, educational, environmental, and community programs.
- Assists with planning and coordinating City-sponsored festivals, special events, and community activities.
- Develops new programming opportunities based on community needs and interests.
- Coordinates instructors, volunteers, vendors, and contractors as needed.
- Assists with event logistics, setup, scheduling, and operations.
- Evaluates programs and events to improve future offerings.
Facility & Program Administration
- Manages City-wide facility and site reservations.
- Coordinates facility scheduling with other Parks & Recreation Coordinators and the Parks & Recreation Director.
- Maintains accurate program schedules and reservation records.
- Assists with the preparation of program materials, registrations, and participant communications.
- Ensures facilities are properly scheduled and available for programs and events.
Budget & Financial Support
- Assists in planning and preparing program budgets.
- Maintains accurate financial records for assigned programs.
- Prepares financial reports as requested by the Parks & Recreation Director.
- Monitors program expenditures and assists with budget management.
Community Relations & Marketing
- Manages Parks & Recreation Department social media accounts.
- Promotes programs and events through a variety of marketing channels.
- Works collaboratively with neighborhood organizations, civic groups, schools, businesses, and community partners.
- Responds to public inquiries regarding Parks & Recreation programs and facilities.
- Represents the Department at community meetings and outreach events.
Staff & Administrative Support
- Provides supervision to full-time, part-time, contractual, and volunteer staff as assigned.
- Assists with recruiting, scheduling, and coordinating volunteers.
- Maintains program records and administrative documentation.
- Assists the Parks & Recreation Director with departmental projects and special assignments.
- Performs other duties as assigned.

Computer Skills
- Microsoft Word, Excel, Outlook, and Teams.
- Social media management platforms.
- Registration and reservation software (preferred).
- General office software and equipment.
Minimum Qualifications
- High School Diploma or GED preferred.
- Knowledge of recreation programs, activities, and community programming.
- Ability to communicate effectively both orally and in writing.
- Ability to establish and maintain effective working relationships with supervisors, employees, volunteers, and the public.
- Valid South Carolina Driver’s License or ability to obtain one within six (6) months of employment.
- Ability to successfully pass a criminal background screening.
Preferred Qualifications
- Experience in parks and recreation, event planning, community programming, or public administration.
- Experience managing social media platforms.
- Experience supervising staff or volunteers.
- Experience with budgeting and financial reporting.
- Experience working in municipal government or public recreation is preferred.
Physical Requirements
- Frequently sits, stands, walks, bends, stoops, and reaches.
- Frequently uses computers, mobile devices, and standard office equipment.
- Occasionally lifts and carries up to 20 pounds.
- Operates City vehicles and equipment as required.
- Performs work both indoors and outdoors.
Working Conditions
This position is performed in both an office environment and outdoor recreational facilities. Evening, weekend, and holiday work is frequently required to support community programs, athletic activities, and special events. Employees may be exposed to varying weather conditions, loud noise, moving equipment, and other conditions associated with parks and recreation facilities.

Reporting Relationship
This position reports directly to the Parks & Recreation Director. The Programs & Events Coordinator assists in the administration of Parks & Recreation programs, community events, facility scheduling, and departmental operations while exercising sound judgment, professionalism, and initiative in serving the citizens of the City of Pickens.
